Client Privacy


At Virtual TaskTeam we take your privacy seriously . We are committed to maintaining the highest possible level of security for all of your personal data, received by our organization. For this reason, we only collect the minimal amount of information to establish who you are, and ensure that at no time do we house, solicit, request or collect your financial information. 

We use Paypal, as our secured payment source, and at no time request your credit card or account information. All payments for our services are completed via Paypal.com from our online website: www.Virtualtaskteam.com.


When you order, we need to know your name, company name, address, telephone number and email address. This allows us to process and fulfill your order. You have the option to withhold personal information that is not required for the order process. Your task team project details are under our internal reference number which is a uniquely generated reference # ensuring that your information is secured.


At no time will be sell rent, exchange or share your personal information with any third party – for commercial reasons or otherwise. We follow strict security procedures in the storage and disclosure of information to prevent unauthorized access in accordance with the Canadian Privacy Act and data protection.


At Task Team we mandate all of our freelance / independent contracts to sign a task team approved Confidentiality Agreement. This is step one in our security measures to maintain the highest standard of expectation from our team. Next we stipulate to our clients that at No Time, should a client present or provide our freelance team with credit card information. All Task Team billing must be completed online via Task team portal. All payments are confirmed with your unique client reference number.

Definitions / Definitive Terms

Client: customer or buyer means to the individual (must be over the age of 21 years of age) or organization who has purchased any of our program plans or a customized solution.

Freelance(r): Individual that is a non-employee of task team. A virtual support, and independent contractor.

Team Lead: A direct representative of Task Team, with the authority to act in the best interest of Task Team. A client support for Q & A.

Supplier: directly relates to Task team or Taskteam.org being the provider and operator of supplying services and solutions agreed upon mutually with client for delivery/deliverables.

Services: means client has purchased an allotment of time to be directly applied to solutions agreed upon by Task Team, purchase of time for rendering of deliverables or outlined solutions.

Signup: the confirmation of purchase /  means a purchase of time has been completed via the online web page where the number of hours to be purchased is selected, and procured at the price of each hour purchased. This a direct agreement by the client to purchase time for usage with in the Task Team environment – upon by which the client, agreement to the Supplier’s terms and conditions is made and the Buyer’s initial purchase is made.

Currency:            Task Team program plans are listed online at WWW.Virtualtaskteam.com   in   Canadian funds.

Contract Time period: All purchases via our online environment WWW.Virtualtaskteam.com are deemed 1 month in duration, with the option of the current rollover time period. See Monthly Time rollover section for information.

Service Outline

Task Team is a leader in providing virtual support services to North American businesses. Founded in Toronto, Canada – we have connected North American businesses with unlimited dedicated, freelance professionals who are tested, qualified and local.

Task Team is not an employment agency, recruitment or introduction service.

We do not require a signed statement of work to complete or carryout tasks for our clients that are deemed regular or normal task assignments. Your use of any of our plans, services or resources, including this website deem you in agreement or acceptance of our terms and conditions.

The Task Team online environment was established with simplicity, and transparency in mind. We wanted each of our clients and freelancers to have a great user experience, and access to the workflow of any of their assignments or tasks at any time.

This enviornment was established with 2 goals in mind:

  1. Provide professional services to businesses, and entrepreneurs at any level or scale
  2. Keep North American freelancers working / doing what they love.

We are local, professions with industry experience. All freelancers are Interviewed, tested and members of our environment. We remove the guess work by removing the bartering, proposals and credit system that can hinder the progress of getting things done.

With that in mind, below is an outline of our user agreement and our terms for service.

Hours of Operation

Monday thru Friday 8am to 8pm EST with  availability on Saturday for plans over 20hrs.

Your Project Manager / Team Lead

Your personal Guide or “Sherpa” to successful tasking:
At Task Team we provide you with a direct lead, and virtual account manager that will support you with getting started within your program plan, and assist with your user experience. They remove the ‘guess’ or the grey and work to ensure that you have the information and level of detail you need.

Your team lead can not only assist you with establishing your task list weekly, but also takes the lead in assigning freelancers to deliver each assigned task, keep your tasks on track. Think of them as your very own Sherpa or guide within our environment.

Client & Freelance Support
Your team lead has access to all hands in our resource base, and will ensure that your tasks are clear for you, as well as the freelance team support you. With multiple freelancers available, they have a variety of resources at their fingertips!

Purchasing Additional Time

Purchasing additional time: (complete prior to your time run-out for additional discounts). Additional hours can be purchased online via client exclusive coupon for discount.

Client set up fee

› A one-time set up fee is applicable for all new client accounts, with program packages less than 40hrs.
› Current Set up fee is  $6.99 CAD


The client set up Fee is included in packages over 20hrs .  The Client set up Fee is waived for all programs with reoccurring monthly program plans.

Time roll-over Month to Month

Based on the purchased hours contracted per month, each plan has been provided with 10 days grace period as a carryover into the proceeding month, to complete all remaining hours within the month purchased.  This will provide each client with an additional 10 days to use purchased hours within contracted hours purchased.

What makes us different?

We differ from the competition in a number of ways, but essentially here are a few main points that are apart of our mandate:

  • All program plans are in Canadian Currency
  • Capped Freelance Quota: An exclusive community of selected freelancers. We want to ensure that everyone is active – Nobody’s bored… Our team is very busy, doing what they love, and are skilled at. That’s why our team size is capped at a firm # of members to ensure that there is active membership.
  • Membership: Our roister of freelancers are active members within the Task Team environment. This ensures a committed work environment. Our talent base of freelancers are hand picked via our application process and are local (must reside within North America) interviewed, tested, and membership active.
  • Team Lead assisted delivery: At Task Team your team lead is tremendous resource. They remove the ‘grey’ areas, by working with clients and freelancers to keep things moving forward. Team leads provide our clients with a virtual connection to all that is being done operationally and delivered. From navigation to routine scheduled meetings, establish the workflow and timeline or life cycle preferences for a client as well as support our freelancers.
  • Extended Hours: Need Weekend service? – we can provide the support you need. Weekend service can be incorporated in plans 90hrs or greater, without a fee. All active plans that require weekend hours for task support, and are 60hrs or below can receive additional support time at a rate of $15/hr (for a total of 16hrs per month) . This is only available for clients that have existing plans that are below 60hrs. All plans over 90hours can request without additional rates for time applied.

 

 

Scheduling Tasks

Clients are encouraged when scheduling their tasks, to apply deadlines. Tasks can be scheduled daily for plans greater than 40 hours.

Tasks are required to be inputted  into the user/client task list, with as much information as required.

Clients are permitted to upload  files, data, contact lists PDF’s, templates and other non macro files to our task list drop box or Task Team task tool, in order to complete tasks.  It is the responsibility of the client to ensure that the files applied to the Task Team task tool, are non malicious, virus free, non corrupt. Task team will not be held responsible for files that are damaged.

Task Team reserves the right to report all suspicious files, that can harm the task team environment. All files deemed harmful, will result in legal action and reimbursement of all damages incurred to task team.

Prioritization of each task is required for optimal success. Allotment interval is required for scheduling a freelance tasker.

Your designated team will work with each client / you to ensure that your requested time frames are realistic as well as keep you up to date on delivery status by conveying daily status reports.

Weekly consultations or client meetings can be scheduled with Project Manager, free of charge to existing plan members greater than 20hours. Meeting are used only to plan upcoming tasks, projects based on time remaining or available. Weekly consultations should be no longer than 20min.

Assigning Tasks

Your dedicated team lead will review the task list of each client and assign the appropriate freelancer as necessary. Your team lead can also assign multiple freelancers to a task list if requested. Note that plans greater than 90hrs have multiple freelance tasker’s assigned as needed. 

Approving Task

The task team environment is one of checks and balances. That’s why we have task statuses to ensure that the life-cycle of a task is clearly established. This process assist our guaranteed task system and further establishes the transparency required within our environment for success/collaboration.

Below is an outline of the life-cycle of a task within the Task Team environment:

  1. New: The moment a task is added to a client profile, it is deemed ‘new’. In this status has been added to the task list, but not assigned to a freelancer
  2. Pending: The next phase in a task life-cycle. This status means that the task has been assigned to a freelancer and is being worked.
  3. Completed: In this status a freelancer has completed the assigned task.
  4. (a)Approval: Once a task has been completed to the specifications outlined by the client within the task team environment, it must be reviewed by the client. Once approved the task is closed.

4. (B) should a task be “denied” by a client, it will be escalated to a team lead for review, and further collaboration on possible issue.

We want to ensure that you always have visibility into the status of your task.

The moment a freelancer completes an assigned task, it is updated to a status of as completed. Each client must then approve the completion of each task, for finalization.

Time Usage

In an effort to maximize your program plan, it is in your best interest to designate a number of working hours per day. This ensures that you get the most our of your purchased time and optimizes the length of your plan.

Working hours per day range from 2 to 6 hours per day, depending on your purchased plan. This will be established during your program set up, and can be adjusted based on additional purchased hours.

We reserve the right to Refusal of Service

Below is an outline of conditions that will result in refusal of service:

  • Any actions, and requests for services that are deemed unlawful under Canadian Law or International Law
  • Abusive or harmful interactions from clients & freelancers / actions deemed unprofessionial and counter productive to well being
  • Requests for services that are deemed immoral or constitute fraud, defame or harmful to another person, brand
  • The Task Team service reserves the right to refuse service to organizations or individuals that breech our mandate for honest service
  • All orders for Services shall be deemed to be an offer by the client to purchase Services pursuant to these Terms and Conditions and are subject to acceptance by the Supplier or Task Team. The Supplier may choose not to accept an order for any reason. We reserve the right to reject the purchase of an offer, at which time all unused funds will be returned to the client.
  • The Buyer may not use the Supplier’s service to arrange or in relation to any illegal or immoral activity.

Billing

Pricing for all time allotments or hours, will be set by Task team and clearly outlined online within the sign up form area.

All payments must be made online, through the www.taskteam.org website.

At no time will any funds or payments be initated over the phone. At no time will any Task Team reprentative attempt to collect funds over the phone.

All clients will be issued the official task team invoice and directed to make all or any payments via www.Virtualtaskteam.com without exceptions. This will only be initiated by the Task Team Lead you have been assigned.

Fees for additional work requested by the Client are due prior to any additional work commencing and can be made via Paypal, credit or debit card or Direct Debit online at www.Virtualtaskteam.com with the confirmed reference # for the work stipulated.

Where applicable, if any payment is not paid on time or any payment is rejected or refused, the amount owing will be treated as overdue and the Supplier will be entitled immediately to suspend the provision of the relevant Service until payment has been received.

All late payments will be subject to 11% late fee

Service Interruptions

Unfortunately, there are things that can happen outside our control, such as power outages due to extreme weather, or provider issues that are communicated by a major provider due to force majeure. Should there be issues related, to force majeure that directly impact the flow of deliverables and solutions, we will report this to you immediately, as well as outline a contingency plan if possible. We will do our best to get things back on track and provide the exemplary service you are used to.

At Task team we will make every effort to perform the tasks required with reasonable skill and care. However, the Supplier does not guarantee that the Services will be uninterrupted, secure or error-free or that any data generated, stored, transmitted or used via or in connection with the Services will be complete, accurate, secure, up to date, received or delivered correctly or at all. The Supplier may have to suspend the Services for repair, maintenance or improvement. If so, the Supplier will restore them as quickly as is reasonably possible.

Plan Cancellations

If buyer has decided to cancel purchased hours during an active month 20 day’s post purchase date, unused hours – less 20% will be refunded.
Refunds are solely at the discretion of Task Team
Refund value subject to deduction of current tasks/assignments in progress

Client must provide proof of payment with verified Task team reference account # / allow 10 to 15 days for refund confirmation


Cancellation of hours can only be completed by purchaser of time
Refund issued account on record at time of purchase

Changes to Terms & Conditions

Task team reserves the right to revise, update and edit these terms as necessary.
The Supplier reserves the right to periodically update any prices shown on the Website, which cannot be guaranteed for any period of time.

The Supplier reserves the right to withdraw the Services or solutions from the Website at any time.


Liabilities:
The Supplier acts as an agent when arranging services for the Buyer.
The Supplier operates a vetting procedure for all services arranged for the Buyer – however the Supplier cannot guarantee the quality of the services arranged as an agent. The Buyer may need to agree to the terms and conditions of the external supplier in order for the services to be arranged.


The Supplier will not be able to complete tasks that involve the installation or use of specialist software at their end, unless agreed in advance.
The Supplier is not responsible for any loss or damages the Buyer or Buyer’s business may suffer as a result of fraudulent or negligent activity carried out by any agent, person, freelancer or company working in association with or on behalf of the Supplier. The Buyer accepts all responsibility and risk for sharing any sensitive data, including financial or payment information, with any agent, person, freelancer or company working in association with or on behalf of the Supplier.


The Supplier at no time request to have or keep record of the clients credit card detail or financial account information.

The Supplier shall not be liable to anyone for withdrawing the Services from the Website or for refusing to process an order
Except as may be implied by law where the Buyer is dealing as a Consumer, in the event of any breach of these Terms and Conditions by the Supplier the remedies of the Buyer shall be limited to damages, which shall in no circumstances exceed the regular monthly subscription price of the Services paid by the Buyer and the Supplier shall under no circumstances be liable for any indirect, incidental or consequential loss or damage whatever.

The Supplier will not be responsible for any damages the Buyer’s business may suffer at the result of a requested task.


The Supplier is not responsible for any loss of data resulting from delays, nondeliveries, wrong delivery, and any and all service interruptions caused by the Supplier and its employees. The Supplier cannot guarantee that the service will be uninterrupted or error-free, or meet the Buyer’s requirements.
